Stage 1

Site capture

Open the survey on tablet or phone. Walk room by room, adding ACMs and evidence as you go — structured fields, no free-text-only path.

Stage 2

Room duplication workflow

For repeating rooms (corridors, plant cupboards, identical flats), duplicate a room with explicit control over what carries across — and a built-in review flag.

Stage 3

Sample handling

R&D sample references captured against the ACM. Duplicated sample references are flagged with an inline warning so identical IDs never slip through unchecked.

Stage 4

Office review

Reviewers open the same structured survey. Issues are flagged with internal review notes — never bled into the client-facing PDF.

Stage 5

QA / integrity check

A survey integrity check scans the structured data for missing required fields, duplicate sample IDs, unresolved review notes and items flagged for review.

Stage 6

PDF issue workflow

Workflow status moves Draft → Ready for office review → Ready to issue → Issued. The branded PDF is generated from the structured record.

Stage 7

Completion records

Issued surveys produce a completion record that can be tracked, viewed and re-exported — separate from the survey workspace.

Stage 8

Auditability

Every survey carries its workflow status, surveyor, review notes, completion record and evidence chain — an auditable record from capture to issue.

Frequently asked questions

How does duplication of repeated rooms or areas work?

A 'Duplicate room' workflow lets a surveyor copy a room and its ACM structure with explicit controls over what is copied — material/risk assessments, recommendations, photos, sample references. Duplicated items are flagged for review before issue.

Are review notes ever shown in the client PDF?

No. Internal review notes are kept on the survey for the office team and are never included in the client-facing PDF.

Is there a record of issued surveys and completion records?

Yes. Issued surveys, workflow status changes and completion records are stored as part of the survey lifecycle for operational visibility and audit.
